Work Management: Do More

This solution is designed to complement time and attendance software to bring it to the next level.  It is a product that interfaces with time attendance systems and give it the work productivity management module that it lacks.  It improves workforce events’ visibility and make decision making a responsibility of the management team.

Work Management introduces a combination of strategies and workflows that ultimately provide productivity improvements through encouragement of positive employee behavior and establishment of adequate management control.

Why Work Management?

It is not enough to have an automatized time attendance software. Most companies are content with knowing that their payroll processes are managed accurately. Having merely automatic computation of allowances, overtime and monitoring of attendance for compliance purpose is somehow sufficient. It is true that having all these could bring savings for the company especially with the elimination of human error. But, did you ever stop to think about the other side of the coin? Did you ever wonder how time and attendance affects the production side of the company? This is one area that is often overlooked by a lot of companies. The interdependent relationship between the production department and time and attendance systems are not given much thought. If you actually consider the savings you would get from payroll automation, it would be so measly compared to the output you can generate just by understanding that time and attendance has a direct impact on production.

Knowing the actual start of work time of your employees and those employees who did not show up on a timely basis is a key to ensuring maximum productivity. In order to do that, accurate and real-time information should be provided to the frontline and they should be able to organize teams so that targets are met. The schedule and roster should be managed according to the production targets and the available resources for the day. With this, complete set of necessary skills will be ensured and disruptions in the production line will be limited. Emphasis on monitoring and analyzing your workforce’s time and attendance would surely increase workforce predictability and will allow you to better plan and execute production decisions.

Proactive overtime control is necessary to make sure that companies have total control of their overtime. Companies usually see total overtime done by the end of the month where they have no choice but to pay the workers without even knowing the validity of the overtime done and even where it came from in the first place. Most of the time, companies are forced to pay enormous amounts for overtime thinking that it is necessary and that it is a norm. This practice should be left in the past. Overtime should be controlled through a planning, reasons and approval module.

Management and supervisors should also be kept aware of relevant workforce information. There are certain events or information that need the attention of the appropriate parties.  In the interest of efficiency, it would be best for the events or information to be sent to the correct person(s) at a timely basis.  For example, there is a limit to the overtime performed on a given month.  If a supervisor knows that an employee is nearing the limit then he will act accordingly.  Any accident after the limit has been reached could result to a larger liability.

The management reports to be generated should provide a broader perspective of what’s happening in the shop floor. It should show trends on workforce information especially overtime done by employees and the reasons for each overtime applied. Analyzing these reports will reveal areas of improvement or weaknesses in the production line such as a worker’s capability. For instance, the worker might have had a lot of overtime for a certain period of time because of lower output or shortfall on the output target. It might be conclusive to say that this worker is a candidate for retraining. Another scenario could be that there is high overtime due to machine breakdown. Management would need to identify what the real issue is. Would it be necessary to buy a new machine or some other preventive measure should be implemented?  With the deeper view provided by management reports, repetitive unproductive behaviours or unfavourable patterns will be avoided.

With the work management module, you would be able to make use of strategies and workflows that would encourage positive employee behaviour and establish adequate management control which ultimately aims for productivity improvements. It will not only give you a real-time micro view of everything that’s happening with your workforce in the shop floor but also empowers supervisors to make necessary mitigations to ensure fluidity and efficiency in the production line. All these powerful tools will ultimately drive you to maximize your workforce capabilities and bottomline productivity.
